Subscription and Cancellation Policy

This policy sets out how you subscribe to the Executive Newsletters Bureau’s services, how you change, pause or cancel your subscription, and how amounts and VAT are calculated in each case. The principle: rules known in advance, not a negotiation each time.

It applies to all four tiers (Individuals, Basic, Premium and Custom) and to add-ons. Where a Custom tier contract says otherwise, the contract prevails.

Prices and VAT

Every price the Bureau shows on the site or in a written quote includes 15% value added tax.

  • On the site and in quotes: the price is shown including VAT, marked “including VAT”. VAT is never added on top of the advertised price at payment.
  • On the invoice: the amount before VAT, the VAT amount and the total each appear on their own line.
  • E-invoicing: every billing, whether monthly, prepaid or one-off, is issued with an electronic tax invoice that meets the “Fatoora” requirements.
  • Adjustments: refunds and downgrades are issued with a credit note, and repricing fees on cancellation with a debit note or invoice; VAT follows the amount in both cases.
  • Bureau details: the commercial registration and VAT numbers appear on every invoice: [CR number] · [VAT number].
  • VAT rate changes: if the rate changes by law, the new rate applies to invoices issued after it takes effect, and this is not a change to your fixed price.

Commitment and billing

You choose two separate things: the commitment term, which sets the discount, and how you are billed, which is monthly by default.

Commitment term Discount on the package price Available for
12 months 25% All tiers
6 months 20% Individuals, Basic, Premium
3 months 15% Individuals
Rolling monthly 10% After any commitment ends
  • Minimum commitment: 3 months for Individuals, 6 months for Basic and Premium, and 12 months for Custom. It covers the set-up cost: the onboarding session, the editorial policy and the first interviews.
  • Invoices and payment dates: invoices are issued according to the agreed subscription cycle, and the due date shown on the invoice is the approved payment date. Where no different due date is set, the invoice is due within five calendar days of its issue date.
  • Prepayment: the Bureau may offer a prepayment discount on some subscription plans, at the rate and on the terms set out in the commercial offer or the agreement with the client. The discount and the subscription period it covers are set before payment is made, and cannot be changed retroactively during the confirmed subscription period. On early cancellation, the financial settlement follows the repricing rules in the “Cancellation” section, subject to any mandatory regulatory provisions that apply to the transaction.
  • Price lock: the package price and discount are fixed for the whole commitment. We give 30 days’ notice of any change after it.
  • Renewal: when the commitment ends, the subscription becomes rolling monthly at a 10% discount, unless you choose a new commitment. We remind you 30 days before it ends.

Changing your subscription

You can change your subscription at any time in writing, by email or WhatsApp. When each change takes effect and how it is billed is set in advance:

Change Takes effect How it is billed
Adding a monthly service From the next billing cycle On the next invoice
Adding a one-off service (editorial policy guide, legal review) Immediately A separate invoice, immediately
Removing a monthly service At the end of the current cycle Part-months are not refunded
Upgrading the package Immediately The difference, pro rata for the days left in the cycle
Downgrading the package At the end of the commitment At the new price from the next cycle
  • Minimum term for some add-ons: organic growth, integrated marketing and executive briefs are added for at least three months, because the first month is set-up.
  • Upgrading during a commitment: keeps the original commitment term and its discount.
  • No downgrades during a commitment: the discount was granted for a specific package and term.

Pausing

You may pause your subscription for one month in every 12, with 14 days’ notice. This suits Ramadan, the summer and busy periods.

  • No invoice is issued for the paused month, and no content is produced.
  • The commitment is extended by one month, and the fixed price stays the same.
  • Monthly add-ons pause with the package, unless you ask in writing for one to continue, such as executive briefs.

Cancellation

You can cancel at any time, and you see the cancellation cost before you confirm.

Subscription plans may include preferential prices tied to a commitment for a set period. If the client asks to end the subscription before completing the period on which the preferential price was based, the financial settlement follows the plan price that applies to the subscription period the client actually completed, according to the price schedule approved at the time of contracting.

The amount due for the period served is calculated at the price that applies to the completed period, less what the client paid for that period. Any difference is settled under the refund and amounts-due provisions of the contract. This applies according to when you cancel:

  1. Before the minimum commitment: the remaining months up to the tier’s minimum are payable, because the minimum covers set-up.
  2. After the minimum, before the commitment ends: the months already served are repriced at the discount of the longest commitment you actually completed, and you pay only the difference. No invoices are issued after the current cycle ends.
  3. After the commitment ends: the subscription is rolling monthly and can be cancelled with 30 days’ notice, at no charge.

Illustrative example for case 2 (amounts before VAT): a Premium tier client on the “Thought Influence” option, priced at SAR 20,000 a month before discount, commits for 12 months at 25% off and pays SAR 15,000 a month, then cancels after 7 months.

Item Amount
Longest commitment completed 6 months, at 20% off: SAR 16,000 a month
Monthly difference 16,000 − 15,000 = SAR 1,000
Repricing fee 1,000 × 7 = SAR 7,000
VAT 15% SAR 1,050
Due on cancellation SAR 8,050

For comparison: paying the remaining five months would have cost SAR 75,000 before VAT.

  • How to cancel: in writing to info@executiveletters.com or via WhatsApp, with no call required. You receive written confirmation of the amount and your last day of service.
  • Content in production: whatever has been paid for is delivered until the last day of the cycle.

The repricing method and the relevant prices are explained to the client before the subscription is completed, and no additional cancellation fees are charged beyond those set out in the commercial offer or the contract.

This does not affect the client’s rights where termination results from a breach by the Bureau of its obligations, or in any case where the applicable laws require different treatment.

Late payment and refunds

  1. Notice: if the client does not pay the amount due by the due date, the Bureau sends a payment notice stating the overdue amount, the due date and the period available to settle it.
  2. Five calendar days after the notice: if the delay continues without the amount being settled or a written agreement on settling it, the Bureau may suspend the start of new work or suspend the affected services, taking into account existing contractual obligations and the relevant regulatory requirements. Drafts and files are kept.
  3. Fifteen calendar days after the first notice: if non-payment continues, the Bureau may end the subscription by written notice, and settle the amounts due under the contract and this policy.
  • Suspending the service or ending the subscription for non-payment is not a waiver of either party’s financial rights.
  • Organizations that pay by invoice and bank transfer, such as government bodies and large companies: the payment terms agreed in the contract apply.

Refunds

  • If the client is entitled to a refund under the contract, this policy or the applicable laws, the Bureau processes the refund request after verifying entitlement and completing the necessary information. Payments for delivered content are not refunded.
  • Refunds are made to the original payment method where available, or by an alternative method agreed by both parties and permitted by law and by the payment provider, with an electronic credit note.
  • The Bureau aims to pay the amount due within ten working days of the refund being approved and its requirements completed. The amount may take longer to appear in the client’s account, depending on the bank or payment provider.
  • This policy does not limit any refund right or mandatory period set by the applicable laws.

When the subscription ends

  • Content delivery: when the subscription ends or is terminated, the Bureau delivers to the client copies of the final content produced for them and paid for, within five working days of the end of the contractual relationship and the settlement of amounts due, unless both parties agree otherwise in writing.
  • Delivery formats: delivery is in available digital formats suited to the content, and does not automatically include internal files, production tools, templates or materials licensed from third parties, unless the agreement says otherwise.
  • Usage rights: the rights to use and receive the content are governed by the intellectual property and licensing provisions of the contract and the Terms and Conditions, subject to third-party rights and any licensing restrictions in force.
  • Accounts: account access is handed back as soon as the contract ends, and any authorization you gave the Bureau is revoked.
  • Confidentiality: confidentiality obligations continue after you leave, under the Terms and Conditions.
  • Data: your data is destroyed or kept in line with the Privacy Policy and the Personal Data Protection Law.
